How to Import Bank Statements into QuickBooks
To import a bank statement into QuickBooks Online, convert the statement PDF to a CSV with Date, Description, and Amount columns, then in QuickBooks go to Transactions → Bank transactions → Upload from file and map those columns. QuickBooks imports the rows so you can categorize and reconcile them.
What QuickBooks needs
QuickBooks Online imports bank data from a CSV with, at minimum, a Date column, a Description column, and either a single signed Amount column or separate Debit/Credit columns. The hard part isn't the upload — it's producing that clean CSV from a PDF statement in the first place.
The fast path
Instead of retyping rows, convert the statement PDF to a CSV automatically, then upload that file to QuickBooks. Because the converter already signs amounts correctly (money out negative, money in positive) and cleans the descriptions, the QuickBooks column mapping is straightforward and the transactions come in ready to categorize.
Step by step
- Convert the statement. Upload the PDF statement and download the categorized CSV.
- Open the bank upload. In QuickBooks Online, go to Transactions → Bank transactions → Upload from file.
- Map the columns. Map Date, Description, and Amount to the CSV columns, then import.
- Categorize & reconcile. Review the imported transactions, assign accounts, and reconcile.
FAQ
Does QuickBooks accept PDF bank statements directly?
No. QuickBooks imports CSV, QBO, QFX, or OFX files — not PDFs. You need to convert the PDF to CSV first.
